Cancellation & Refund Policy

1. Subscription Cancellation
How to Cancel
Institutions may cancel their TeachCares subscription at any time by submitting a written cancellation request to support@teachcares.com or through the account settings. Cancellations must be submitted at least 7 business days before the next billing cycle to take effect.
Effect of Cancellation
Upon cancellation, your account will remain active until the end of the current billing period. No partial-period refunds are issued for early cancellation within an active billing period.
2. Refund Eligibility
TeachCares offers refunds in the following specific circumstances:
- •Platform Downtime: If TeachCares experiences verified downtime exceeding 48 consecutive hours (excluding scheduled maintenance), a pro-rated credit for the affected period will be issued.
- •Duplicate Payment: If a duplicate charge is processed due to a technical error, the duplicate amount will be fully refunded within 7 business days.
- •Setup Fee Refund: If onboarding has not commenced within 14 days of payment, the setup fee may be refunded in full upon request.
3. Non-Refundable Items
- •Subscription fees for periods already rendered
- •Setup, implementation, and data migration fees once work has commenced
- •Fees for add-on modules or integrations once activated
- •SMS/notification credits once consumed
- •Annual plan fees after the 14-day trial period
4. Free Trial Policy
New institutional subscribers receive a 30-day free trial with full feature access. No credit card is required for the trial. At the end of the trial, you may choose a paid plan or your account will be deactivated. Trial accounts that convert to paid plans are not eligible for the trial-period refund policy.
5. Refund Process
- •Submit a refund request to billing@teachcares.com with your Institution ID, transaction reference, and reason
- •Our billing team will review and respond within 3 business days
- •Approved refunds will be credited to the original payment method within 7–10 business days
- •For bank transfers, please allow additional time based on your bank's processing schedule
6. Dispute Resolution
If you believe a charge is incorrect, please contact us within 30 days of the charge. We will investigate and resolve the dispute promptly. Chargebacks filed without first contacting us may result in account suspension pending resolution.
